Reade was supposed to write this newsletter, but, well, let’s just say a shiny object came along and now he’s probably knee-deep in some new tech tool or wild idea. So, I figured I’d step in.

And today, I’m here to talk about how you can scale smarter with systems that actually work.

Let’s dive into what we call the Pyramid of Growth, a structure we use to help clients (and ourselves) scale effectively.

The Power of a Shared Vision

“If your team doesn’t understand where you’re headed, no system in the world will save you.”

Scaling starts with a shared vision. 

This isn’t about motivational posters on the wall or vague mission statements—it’s about making sure everyone on your team knows exactly why they’re doing what they’re doing.

We kick off every project by getting crystal clear on the why. We ask questions like:

  • What’s the ultimate goal of this campaign?

  • How does it tie into your bigger business objectives?

  • What does success look like?

If your team isn’t aligned on the big picture, everything else—templates, tools, fancy automations—will fall apart.

Pro tip

At your next meeting, ask your team to write down the main goal of your current campaign in one sentence. You might be surprised how much clarity (or misalignment) you uncover.

Roles: Who Does What

“Confusion about roles leads to overlap and missed opportunities. Clear roles create momentum.”

Once you have your vision, you need to figure out who is responsible for what. This sounds obvious, but trust me, a lot of teams get stuck here.

We make roles super clear. If someone owns a task, they own it—end of story.

This prevents things from slipping through the cracks (or worse, everyone assuming someone else will handle it).

Pro tip

Create a simple chart that lists each team member and their responsibilities. Bonus points if you use Google Sheets to keep it organized.

Routines Make the System Work

Even the best systems rely on routines. Without consistency, nothing sticks.

In our world, weekly standup meetings are soooooo important. They’re short, focused, and keep everyone accountable.

Whether it’s 15 minutes or an hour, having a regular check-in ensures no one is left wondering what’s next.

Pro tip

Start with a 15-minute weekly meeting to review progress, tasks, and any roadblocks. Trust me, it’s a game-changer.

Plans & Programs: Turning Ideas Into Action

“Your big goals are only achievable if you break them into smaller, actionable programs.”

This is where the magic happens. Plans and programs take your vision and turn it into something actionable.

For us, it often starts with a content calendar. It’s simple, but it keeps us consistent and prevents last-minute chaos.
